Client Co-ordinator

And now, we are looking for a Client Co-ordinator to join the team.

This is a diverse, hands on role to support the director and the small team with the client management which will include assisting with sales & marketing, maintaining our processes and CRM and assisting with new clients onboarding.

The main purpose of this role is to assist the directors with sales and marketing, maintain the client onboarding process ensuring a smooth transition from their previous accountant, establish a CRM system for new and existing clients, maintain the client portal, as well as help with the marketing and general practice admin.

Key Responsibilities:

  • Ensuring clients are onboarded efficiently and all aspects covered.
  • Establishing CRM system for existing and potential clients
  • Maintenance of the client management software
  • Practice administration
  • Sales & Marketing administration

Key Duties:

Client onboarding:

  • Monitoring the new client pipeline
  • Maintaining proposal software.
  • Setting up clients on client management system, Email system and GoCardless
  • Scheduling touch points with new clients
  • Chasing up information from potential clients where possible
  • Completion of money laundering documentation
  • Obtaining professional clearance from the previous accountant
  • Obtaining HMRC authorisations
  • Setting up software logins
  • Involvement in team review of process and implementation of suggested improvements

Establishment of CRM system:

  • Working with practice director to establish most suitable software
  • Data entry and categorisation of existing and potential clients
  • Entering workflows and templates
  • Integration with existing software
  • Development of templates for communications

Maintenance of client management software:

  • Booking work in
  • Inputting missing data
  • Updating templates for automated reminders
  • Scanning and uploading client communication
  • Processing change of client details
  • Involvement in team review of process and implementation of suggested improvements

Practice administration:

  • Answering the phone
  • Scanning post forwarding to client or uploading onto Google Drive
  • Anti-money laundering reviews
  • Booking in client meetings on behalf of directors
  • Maintenance of anti-money laundering documentation
  • Maintenance of GDPR records

Marketing administration:

  • Preparation of newsletters
  • Preparation and uploading blog posts
  • Processing video blogs/testimonials
  • Posting to social media

Knowledge and Experience Required:

  • Hands-on pro-active individual that embraces cloud technology and the core values of the firm.
  • Strong communication skills and personality fit are essential
  • Excellent organisation skills
  • Previous of experience in the accounting industry is desired (but not essential)
  • Proven record of being able to use cloud systems
  • Ability to support a fast-growing Accountancy Practice

Please note; this role is not an apprenticeship or training to become an accountant although that could always be a potential future career path. This is ideal for someone who perhaps doesn't want to be an accountant but wants to be working in a fast-growing, forward-thinking Accountancy Practice.

Salary Expectations and Getting Started

We like to be upfront and open with our salaries here at Cone. Competitive and fair compensation for your time and dedication is important to us and we review performance and salary regularly as your skills and expertise develop.

Salary for this role is between £16,000 and £20,000 per annum paid monthly. Please note that this salary range is dependant on existing experience.


The Interview process is first of all by a 2-minute recorded video explaining why you think you would be a great fit for the job. From there, we will have a video call via Zoom that would be booked in. You would receive the questions in advance - you can prepare - we're not here to trick you or catch you out.

Please note that although this is a remote work from home position, you must be able to get to the interviews (if applicable) and if successful, you are required to travel to any Cone related meetups. This will not be reimbursed. As such, we will primarily be looking for the right candidate around the Southampton / Winchester area as training, meet ups and tuition (if applicable) will all be delivered locally. As skills are developed, remote working from further afield would be available. You will also be required to have a strong, stable Wi-Fi connection as majority of your work will be completed via a laptop.
