Practice Administrator

And now, we are looking for a Practice Administrator to join the team on a part-time basis.
This is a varied, hands-on role supporting our Practice Manager and Client Managers with the day-to-day administration and smooth running of the practice.
You'll help keep our client records and CRM organised, chase clients for information, assist with onboarding and offboarding, send documents for signature, maintain recurring processes and generally make sure the things happening behind the scenes happen properly and on time.
There will also be an opportunity to get involved in how we improve the way Cone operates. We're constantly reviewing our systems and processes, looking at where things create unnecessary work and identifying opportunities to automate repetitive tasks.
This is not an accounting role, and you won't be expected to prepare accounts or provide technical advice. Some tasks will involve accounting software - such as posting payroll journals into Xero - but you'll be shown exactly what to do and trained on our processes.
What You'll Do
- Provide administrative support to the Practice Manager and Client Managers
- Chase clients for information and outstanding records
- Send documents for electronic signature and monitor completion
- Assist with new client onboarding and existing client offboarding
- Maintain client details, records and AML information
- Maintain our CRM and practice management system, Karbon
- Keep recurring workflows, tasks and administrative processes up to date
- Assist with HMRC authorisations and other client administration
- Post recurring payroll journals into Xero following an established process
- Maintain internal templates, documentation and procedures
- Take ownership of recurring processes and make sure they happen properly and on time
- Identify where processes break down or create unnecessary work
- Spot opportunities to automate repetitive or manual tasks
- Help us test and implement improvements to our systems and workflows

Perks & Benefits
This is a permanent, part-time position for 18 hours per week, worked across four days of your choice between Monday and Friday.
We offer flexible working by default. We ask that you work for at least two hours on each of your four working days, but beyond that you can structure your 18 hours around what works for you.
You might choose to work 4.5 hours each day, or work longer on some days and shorter on others.
As you'll be supporting the team and communicating with clients, we would expect the majority of your working hours to fall within the normal Monday-Friday working day.
Salary Expectations and Getting Started
We like to be upfront and open about salaries at Cone.
The salary for this role is £13.45-£15.00 per hour, depending on previous experience.
Cone is a Living Wage Employer, and £13.45 per hour reflects the current real Living Wage.
While this role is initially focused on practice administration, there is scope for it to develop as Cone grows. For somebody particularly interested in workflows, systems, processes and automation, a natural future progression could be into an Operations Coordinator role.
Equally, this isn't an apprenticeship or a role where you'll be expected to become an accountant. It could be ideal for somebody who enjoys working within a modern accountancy practice but prefers the administration, organisation and operational side of the business.
